Version: v1.0.0

Registration number: 2021/960137/07

1. Scope

These Terms govern the purchase, download, installation, support, and use of Phoenix Invoice Link.

Phoenix Invoice Link is sold as a once-off single-machine software licence unless Phoenix Link agrees otherwise in writing.

2. Product and Licence Summary

Phoenix Invoice Link is a local desktop-style business application for customers, catalog items, quotes, invoices, PDFs, reports, company profile settings, SMTP email settings, and local backups.

The base licence price is R1 999.00. Optional support add-ons may be selected at checkout.

Each standard licence allows one business entity to install and use the software on one machine. Multi-machine, multi-user, managed hosting, migration, integration, or enterprise deployment requirements must be scoped separately with Phoenix Link.

3. Payment and Fulfilment

Payment is processed by PayFast or another payment provider shown at checkout. Phoenix Link does not store card details.

After confirmed payment, Phoenix Link releases a private download page link by email. The download page includes supported installers, SHA256 checksums, the user guide, and installer security transparency notes.

The buyer is responsible for selecting the correct platform, verifying checksums where possible, installing the app on a suitable machine, and keeping local backups.

4. Support Add-Ons

Support add-ons cover reasonable setup and usage assistance for the selected period.

Support add-ons do not include custom development, accounting advice, tax advice, legal advice, data reconstruction, third-party service configuration beyond reasonable guidance, or business-process consulting unless Phoenix Link agrees separately in writing.

5. Refunds and Cancellations

Refund requests must be sent to support@phoenixlink.co.za with the order reference and a description of the issue.

Phoenix Link will review refund requests according to the nature of the issue, whether the installer or download link has been delivered, whether the software has been activated or used, and applicable South African consumer law.

Refunds may be considered for duplicate purchases, verified billing errors, material defects that Phoenix Link cannot resolve within a reasonable time, or technical fulfilment failures caused by Phoenix Link.

Because Phoenix Invoice Link is a digital software product, change-of-mind refunds are not generally available after download access has been delivered, except where required by law.

Phoenix Link aims to acknowledge refund requests within 2 business days and provide a decision within 7 business days after receiving the information reasonably needed to assess the request.

Approved refunds are processed through the original payment channel where practical. Payment-provider timelines may affect when funds appear.

6. Machine Transfers and Re-Downloads

Machine-transfer and re-download requests are handled by Phoenix Link support and may require proof of purchase, order reference, and reasonable fraud-prevention checks.

Phoenix Link may refuse requests that appear abusive, fraudulent, or inconsistent with the single-machine licence.

7. Customer Responsibilities

The customer is responsible for:

Phoenix Link does not provide accounting, tax, or legal advice through Phoenix Invoice Link.

8. Beta Installer Transparency

Phoenix Invoice Link may be distributed during a managed beta launch while formal Apple, Microsoft, and Linux signing workflows are completed.

Customers must read the installer security transparency notes, download only from Phoenix Link-controlled links, and compare SHA256 checksums where possible.

9. Intellectual Property

Phoenix Link and its licensors retain all intellectual property rights in Phoenix Invoice Link, documentation, compiled binaries, names, logos, and related assets.

The customer receives a licence to use the software, not ownership of the software or source code.

10. Privacy

Phoenix Link handles buyer, support, download, website, and fulfilment information according to the Phoenix Invoice Link Privacy Policy.

Business records created inside the installed app are designed to remain local to the user's device unless the user deliberately sends information to Phoenix Link for support or configures an external service.

11. Limitation of Liability

To the maximum extent permitted by South African law, Phoenix Invoice Link is provided as is and as available.

Phoenix Link is not liable for indirect loss, lost profit, lost revenue, lost goodwill, data loss caused by inadequate backups, customer-side device failure, third-party service failure, or customer reliance on unchecked invoices, quotes, tax figures, reports, or payment instructions.

Nothing in these Terms excludes liability that cannot legally be excluded.

12. Governing Law

These Terms are governed by the laws of the Republic of South Africa.
